Using Group Feature to Organise User Profiles

When your project has a lot of users, it can be useful to organise user profiles in the database in groups. This is possible with the administration portal's group feature. Administrators can create custom groups and add user profiles to those groups for quick access.

Creating a Group

To create a group on your portal, follow these steps:

1. Navigate to Profile Groups section on your portal's side bar and click + Add profile group.

2. Give your group a name by entering it on the textbox.

3. If relevant, add the start and end date of your group. A group with end date will automatically be archived when it is past the end date.

4. Click Save.

5. When you see the message "Changes saved," it means you have successfully created a group.

6. You can find and access your group from the sidebar under Team members.

Adding User Profiles to a Group

After creating a group, you can start adding user profiles to the group. Here is how you do it:

1. Navigate to a user's name and click the Action button ().

2. Choose Edit user group from the drop-down menu.

3. Type the group name to which you want to add your user and click on the group name that appears under the search bar.

4. If you want to add the user to a new group that does not exist yet, type the name of the group and click on Create a group named "[group name]".

5. When you see the message "Change saved," you have successfully added the user to the group.

6. When you click on the group name on the sidebar, you will only be able to see the users whom you have added to the group.

Removing User from a Group

When you want to remove a user from a group, you can follow these steps:

1. From the group page, click on the Action button () of the user.

2. Choose Edit user group from the drop-down menu.

3. Deselect the group from which you want to remove the user.

Deleting a Group

To delete a group, these are the steps that you must do:

1. Go to the group name on the sidebar and click the three dots () next to it.

2. Choose Delete from the dropdown menu.

3. Click Continue.

4. When you see the message "Changes saved," it means that you have successfully deleted the group. It will no longer shown on your sidebar.

Deleting a group does not mean deleting the user profiles that you add to it.
