As an administrator, you can track the number of users you have invited, have created a skill profile, completed their skill profiles and finished the programme. You can also monitor individual users' progress, check their activity, and see how far they have gone with creating a complete skill profile. You can do this from the administration portal dashboard using the outcome tracking funnel and the main pane,
Your users' progress will be visible on the main pane below the tracking funnel, like the image below. The information displayed next to the users' names changes depending on the stage you activate on the outcome tracking funnel.
Understanding the Outcome Tracking Funnel
The outcome tracking funnel provides an overview of the status of users in your database and can be found above the main pane on your administration portal.
Users are "funnelled" along the different lifecycle stages of the programme, and administrators can view users in different stages by selecting the corresponding stage in the funnel.
There are four lifecycle stages that a user will go through from the time they are invited to Skillmap until they complete their skill profile and your programme:
Stage 1: Invited
The first stage is the Invited stage. Users in this stage have been invited by an administrator to use SkillLab to create a skill profile but have not yet registered an account. Users in this lifecycle stage may require reminders to check for their invitations to register an account. You might also want to check whether you send an invitation email in the language they understand.
When the Invited stage is active on the outcome tracking funnel, the dashboard will show the following:
- Activated Invited stage. You activate it by clicking on the box.
- Name of the users you have invited but have not registered an account.
- The day when you invited the users.
- Their invitation link. Each user has a unique invitation link. You can copy the link and paste it to your communication channel with the user to invite them again.
- Your user's assignment situation. If you have assigned them as yours or your co-admin's client, yours or your co-admin name will appear here.
- Resend invitation button. Click this button to send an invitation e-mail again to the user from the administration portal.
Stage 2: In Progress
The second stage is the "In progress" stage. Users in this stage have registered in the application and begun creating a skill profile. However, they have not yet created a complete profile. Users in this stage may require encouragement or guidance to complete their skill profile before it is comprehensive enough to result in good recommendations.
When the In Progress stage is active in the outcome tracking funnel, your portal dashboard will show the following:
- Activated In Progress stage. You activate it by clicking on the box. It is also the default active stage when you open the administration portal.
- Name of the users who have registered an account and started to create their skill profile on SkillLab.
- The status of their skill profile. When the icon turns blue, it means that the user has done the following actions to complete their skill profile:
- The icon
means the user has completed their skill profile.
- The icon
means the user has downloaded their CV.
- The icon
means the user has added their career interest.
- The icon
- The number of experiences the user has added to their skill profile.
- The number of skills the user has added to their skill profile.
- The time the user last active on SkillLab.
- Your user's assignment situation. If you have assigned them as yours or your co-admin's client, yours or your co-admin name will appear here.
- View progress button to view the user's profile completeness in detail.
Stage 3: Profile Completed
The third stage is the "Profile completed" stage. Users in this stage have registered on SkillLab and created a comprehensive skill profile which is adequate enough to provide insights and recommendations. They could be considered ready to guide towards "Graduation" outcomes such as job vacancies or education and training.
When the Profile completed stage is active in the outcome tracking funnel, your portal dashboard will show the following:
- Activated Profile completed stage. You activate it by clicking on the box.
- Name of the users who have created a comprehensive skill profile.
- The status of their skill profile. A blue icon indicates that the user has done the action to complete their skill profile. Most users at this stage usually have blue icons, which indicates that they have completed most actions so that they have a completed skill profile.
- The number of experiences the user has added to their skill profile.
- The number of skills the user has added to their skill profile.
- The time the user last active on SkillLab.
- Your user's assignment situation. If you have assigned them as yours or your co-admin's client, yours or your co-admin name will appear here.
- Graduate button. Click this button to document and track the user's outcome after completing their skill profile and finishing your programme.
There are several types of graduation outcomes, as follows:
- Dropped out: the user quits or does not complete the programme.
- Education/Training: the user enrols in education or other forms of training.
- Employment: the user is placed in jobs, internships, or apprenticeships.
- Entrepreneurship: the user starts their own business or self-employment.
- Improved employment prospect: the user gains a better knowledge of writing a CV and discovers new career prospects.
- Program completed: the user successfully completes the programme your organisation runs.
The outcomes listed under the graduate button is customisable. Contact SkillLab team if you want to add an outcome more suitable for your programme targets.
Stage 4: Graduated
The fourth and final lifecycle stage is the "Graduated" stage. Users in this stage have received services from your organization and can reasonably be categorized as having completed their expected requirements. This stage can best be used to track the outcomes of users over time, and help you to report on the results of your services.
To appear in the graduated stage, you must manually move the user from the Profile completed stage using the Graduate button.
When the Graduated stage is active in the outcome tracking funnel, your portal dashboard will show the following:
- Activated Profile completed stage. You activate it by clicking on the box.
- Name of the user whom you have graduated / moved from the profile completed stage.
- The status of their skill profile showing the actions the user have taken to complete their skill profile.
- The number of experiences the user has added to their skill profile.
- The number of skills the user has added to their skill profile.
- Your user's assignment situation. If you have assigned them as yours or your co-admin's client, yours or your co-admin name will appear here.
- The user's graduation outcome as you chose when you click the Graduate button.
